LAW FIRMS

The research got faster. The file still waits on the client.

A call in the night sits in voicemail until the office opens. A client's tax returns have been on their way since the retainer, so the financial statement cannot be sworn. The conflict check searches this year's software, not the old system where the other spouse's name still sits. We join the systems you already run, so the file keeps moving while you practise law.

Each system does its own job. The work between them lands on you.

Your practice system keeps the matter. The research tool finds the case. The accounting software holds the trust ledger, and the court portal takes the filing. None of them carries a client's details to the next one, chases the document a file is waiting on, or searches the old software for a name. That work lands on the lawyer and one assistant, usually after hours.

Typed once. Chased. Searched in full.

What it costs right now.

Six published figures, each with its source: Canada's law societies, the American Bar Association and Clio's research. Where a figure measures U.S. firms only, its source says so. None of them is a measurement of your firm.

Five problems, and what joins them up.

Each of these is done by the lawyer or the one assistant between other work, which is why it waits until a date forces it.

  1. 01

A court date is close, and the client's pension statement and recent pay stubs still have not arrived.

Reminding when the file comes up

The chase lives in the assistant's week, and the assistant's week belongs to whoever phones first. A reminder goes out when the file comes to mind, which tends to be when a date is close, and by then the missing document is the reason the date moves.

  2. 02

The call that comes in overnight is a voicemail by the time the office opens, and by then the caller has tried other firms.

    A voicemail box until morning

A person answering all night costs more than the handful of calls it would take, so the calls wait. In family law the person calling in the night may be the one in danger, and a voicemail box cannot tell.

See the station that closes it →
  3. 03

A conflict search comes back clean because the other spouse's name was never brought over from the old software.

    Searching the current system

When the firm moved to new software, the matters came across and the people around them may not have. A search can look clean only because the names it needed were left behind, and the first sign can be a motion to remove the firm.

See the station that closes it →
  4. 04

A person who met the lawyer and did not retain never hears from the firm again, and may believe it is acting for them.

    Letting it lapse

A consult that went nowhere has no next step to prompt anyone, so the loop stays open. The silence is the risk: someone who thinks a lawyer is on the file does not go looking for one.

See the station that closes it →
  5. 05

A new client's details go into the practice system, then the support calculator or the real estate closing software, then a court or government portal.

    Copying between screens

Every system was chosen to do one job well, and moving a client between them was left to the assistant. Each retyping is a chance to get a name, a date or a file number wrong, and the mistake travels with the file.

Anything you run, or wish you ran, that is not drawn above. Name it, say where it sits, and it appears on the model with a blueprint sheet of its own. It travels with your pilot-call booking, so the call starts from your map, not ours. No price is attached; it is scoped on the call.

What this does not do

  • It gives no legal advice, accepts no client and decides no conflict. The lawyer decides every retainer, every conflict and every no.
  • No AI answers a caller or writes to a prospective client. Calls reach a person, on a script you sign.
  • Your clients' information is confidential, and much of it is privileged. We access it only for the work you direct, under a signed confidentiality agreement, and never use it for anything else. Anyone who asks us for it is referred to you, because protecting it, and every decision about privilege, stays with you.
  • Anything that touches a client matter engages your professional obligations as a lawyer. We work under your supervision, not beside it.
  • It never touches trust money, never files anything with a court or tribunal, and never contacts the other party or their lawyer.
  • A Diagnostic is measured against your own numbers, starting with the days from retainer to a sworn financial statement, and nothing else.

We have no legal-sector client yet. This page draws on published Canadian and U.S. figures, the conduct rules and AI guidance written for lawyers in both countries, and how the systems firms run connect to one another. Every figure on the board carries its source, and every figure the model below shows is your own.

WHY US

We run this on our own vehicles.

We are not a consultancy that read about AI and wrote a deck. We build and operate the automation behind our own Ontario transport operation — built inside our own business first — and it runs every day whether or not anybody is watching it.

  • Vehicles tracked by geofence on the 401 corridor.
  • Arrival and departure times recorded without anyone typing them.
  • Delay alerts that hold their tongue until they are certain.
  • An AI voice agent that calls drivers before an early start.
  • A dispatch desk that runs on all of it.

That operation carries passengers. Yours carries clients' matters, and the business is different, with rules a fleet never meets. What transfers is the machinery: records made at the moment of the work, messages sent on schedule, and a person one rule away.

What transfers is the machinery, and the expensive mistakes that come with it. The vehicle that clipped a geofence while driving past and marked a stop it never made. The stale data feed that hid whole trips. The alert that fired on one bad GPS reading. Every one of those is a way an automated system embarrasses you in front of a customer, and every one was found and fixed on our vehicles, not yours.

If this is your week, twenty minutes settles whether a Diagnostic would find anything worth fixing.

Put your own numbers through it.

Calls a week, how many reach a person, how many become a retainer, and what a matter is worth to the firm. The missed-call model works from those and nothing else; where it says job, read retained matter.

QUESTIONS WE GET ASKED

How do you handle confidentiality and privilege?

We access client information only for the work you direct, under a signed confidentiality agreement, and never use it for anything else. Anyone who asks us for it is referred to you, because protecting it, and every decision about privilege, stays with you. Access is limited to what the work needs, logged, and yours to revoke at once, and nothing goes live without your written sign-off.

Do we have to replace Clio, LEAP or PCLaw?

No. It works on top of what you already run, not instead of it. Where a system accepts a connection, a client's details move across once; where it does not, they are prepared for the person who enters them. Nothing is scripted into a court or government portal, and the work stays in your accounts if we part ways.

Does AI answer our phones or talk to prospective clients?

No. Lawyers' regulators on both sides of the border have warned about chatbots that talk to prospective clients, and a caller in the night may be in danger. Calls are answered by a live service on a script you sign, crisis numbers first, and every message waits for a person at your firm.

Where would we start, and how would we know it worked?

The first engagement is an Operations Diagnostic of the whole business, with one number taken from the part that costs most, usually the disclosure chase on family files, measured against your own numbers: the days from retainer to a sworn financial statement. It is small on purpose, so you see evidence before anything bigger, and walking away costs little if it does not pay.

Bring us one bad week.

Book a pilot call. Tell us where the week goes wrong, and we’ll tell you what an Operations Diagnostic would map and measure.

The first paid step has a clear scope and an end date, and the pilot after it is one workflow — not a platform, and not an open-ended retainer.
