AI SALES ORDER ENTRY

Your team checks the orders. It stops typing them.

AI sales order entry means a system reads each customer's purchase order as it arrives, by email or PDF, in whatever layout that customer uses, checks it against the quote, and drafts the sales order in your ERP. A person on your team approves it before anything ships or bills.

Why order entry is still typed by hand.

Every customer sends purchase orders their own way: a PDF from their system, a spreadsheet, a line in the body of an email. Your ERP expects one form, so a person reads each one and keys it in, line by line, and checks every price while they do.

Template-based capture tools break the day a customer changes their layout, and none of them can tell whether the price on the PO is the price you quoted.

How it works, in four steps.

  • The PO is picked up from the inbox it already arrives in. Your customers change nothing.
  • It is read, whatever the layout: customer, part numbers, quantities, unit of measure, prices, dates and ship-to.
  • It is checked against the quote and your price list and, where prices follow the metal markets, the current index.
  • The sales order is drafted in your ERP for your team to approve. Anything that does not match is set aside with the reason.

Twenty minutes, no deck. Bring a week of purchase orders.

What it catches before it costs money.

A wrong price on a PO ships at the wrong price. When the shipping notice becomes the invoice, the error is billed, paid and rebilled later, if anyone finds it at all. An order priced per thousand instead of per piece can run that way for months.

Order entry is the cheapest place to catch it: the day the PO arrives, with the odd one out put in front of a person.

When it does not fit.

When your customers already send orders by EDI, the order arrives structured and there is little left to read, and we will say so on the call. It does not replace your ERP or the person who owns the customer either: it works next to them, and it decides nothing on its own that costs money.

What you can hold us to.

  • Every order is a draft until a person on your team approves it.
  • One number agreed before the work starts, such as orders keyed by hand or your rebill count, measured against your own baseline.
  • Built in your own ERP and accounts, with access you grant and can revoke.
  • A daily list of what it could not read or match, with the reason.

AI SALES ORDER ENTRY

What is AI sales order entry?

A system that reads incoming purchase orders in each customer's own layout, checks them against the quote and price list, and drafts the sales order in your ERP for a person to approve. It replaces the typing, not the check.

Does it work with our ERP?

It works with the ERP you already run: through its own import or interface where one exists, and through the screen where one does not. Which route fits is settled in the Operations Diagnostic, before anything is built.

What happens to a PO it cannot read or match?

It goes on the daily exception list with the reason, and a person handles it. A system that guesses at a price is worse than one that says it is not sure.

Is this only for manufacturers?

No. It fits any business that receives orders by email in its customers' own layouts: manufacturers, distributors, and warehouses taking client orders from email and spreadsheets.

What does it cost?

It is quoted on the work after a pilot call, once we know how many orders arrive and how many layouts they come in.
